Privacy Policy

This policy explains what personal data Zimotive collects when you use zimotive.com, why we collect it, who we share it with and what your rights are.

Who we are

Zimotive is a lead generation and guidance service based in Karachi, Pakistan. We help buyers find Japanese used cars and guide them through the purchase. The car itself is sold, invoiced and shipped by BE FORWARD.

What we collect

When you register:

• your name, email address, phone number and WhatsApp number
• your country and city
• whether you buy as an individual or a dealer, and your company name if you are a dealer
• your password. It is stored only in encrypted (hashed) form, so nobody at Zimotive can read it.

When you use your account:

• Queries: the cars you ask about, your budget and your comments.
• Quotations: the cars we offer you, their prices and photos, and whether you accept them.
• Orders: status updates, shipping details and documents about your order (for example invoices or shipping papers).
• Messages: what you send us by WhatsApp or email.

Automatically:

• Technical data: your IP address, browser and device type. We use it to keep you signed in, to protect the website from fraud and spam bots, and in server logs.
• Analytics and advertising data: pages you visit and actions you take on the website, only if you click Accept in the cookie banner (see Cookies below).

We may also receive information about your order from the exporter, such as shipping dates and documents.

Why we use it

• Creating your account, answering your queries, sending quotations and guiding you through your order. Legal basis: to provide the service you asked for.
• Contacting you by WhatsApp, email or phone about your queries and orders. Legal basis: your consent when you register, and to provide the service.
• Keeping the website and your account safe, and preventing fraud and spam. Legal basis: our legitimate interest in a safe service.
• Understanding visits and measuring our ads (Google Analytics, Meta Pixel). Legal basis: your consent in the cookie banner.
• Keeping records and answering authorities when the law requires it. Legal basis: legal obligation.

The legal bases matter mainly for visitors from the UK, Ireland and the EU.

We do not use your data for automated decisions that have legal or similarly significant effects on you.

Who we share it with

• The exporter that sells you the car, BE FORWARD: only what is needed to prepare your quotation, invoice and shipment, such as your name, country, contact details and the car you want.
• Service providers that run our website and communication, on our instructions: Hostinger (website hosting, file storage and the sales@zimotive.com mailbox), MongoDB Atlas (our database, hosted in Frankfurt, Germany), Resend (some system emails), Cloudflare Turnstile (the spam bot check on the registration form), Meta (our WhatsApp messages with you), and, only if you click Accept in the cookie banner, Google (Google Analytics) and Meta (Meta Pixel).
• Authorities, when the law requires it, or to protect our customers against fraud.

We never sell your personal data.

Transfers to other countries

Zimotive works from Pakistan. Our service providers store data in Germany and other countries. When your data leaves your country, we use providers that protect it with standard safeguards, such as the European Commission's standard contractual clauses where they apply.

How long we keep it

• Account and query data: as long as your account is active. If an account has no orders and no activity for 3 years, we delete it.
• Order records (quotations, order history and documents): up to 5 years after the order is completed, in case of questions, disputes or legal requirements. Then we delete them.
• When you ask us to delete your account, we delete your account, queries, quotations, orders and sign-in data within 30 days. We keep something only where the law requires it.
• Analytics data is kept by Google and Meta according to their own settings and policies.

How we protect it

• The whole website uses an encrypted connection (HTTPS).
• Passwords are stored only in encrypted (hashed) form.
• Our admin area is protected with two-step verification.
• Private files, such as quotation photos and order documents, open only through personal links that expire.
• Only the Zimotive team can see your account, and only to help you.

No system is perfectly secure. If a data breach puts you at risk, we will tell you and the authorities where the law requires it.

Your rights

You can ask us to:

• show you the personal data we hold about you and give you a copy
• correct wrong data (you can also edit most of it yourself in My account → Profile)
• delete your account and your data
• stop or limit some uses of your data, or object to them
• stop contacting you, or withdraw any consent you gave

Email sales@zimotive.com from the email address on your account. We answer within 30 days.

If you are not happy with our answer, you can complain to the data protection authority in your country. For example, the Information Commissioner's Office (ICO) in the UK, the Data Protection Commission in Ireland, or the Office of the Privacy Commissioner in New Zealand or Australia.

Children

Zimotive is for adults. You must be at least 18 years old to register. We do not knowingly collect data from children.

Cookies

Necessary (always on):

• A sign-in cookie keeps you logged in to your account. It expires after 7 days without use, or when you sign out.
• Your cookie choice (Accept or Decline) is saved in your browser so we don't ask again.
• The spam bot check on the registration form (Cloudflare Turnstile) may use technical data from your browser.

Analytics and advertising (only after you click Accept):

• Google Analytics, to count visits and see which pages are useful.
• Meta Pixel, to measure our Facebook and Instagram ads and show them to the right people.

If you click Decline, these do not load. To change your choice later, clear this website's data in your browser. The cookie banner will then appear again.

Links to other websites

Our website links to other websites, such as YouTube, Facebook, Instagram, TikTok, WhatsApp and the exporter's website. Their own privacy policies apply there.

Changes

We may update this policy. The date at the top of this page shows the latest version. If we make important changes, we will tell registered users by email or WhatsApp.
